The Curse of Pointless Meetings

The problem often boils down to the lack of a clear structure for running a meeting effectively. In this blog post, I'm going to introduce you to a straightforward, five-step framework designed to transform your unproductive meetings into actionable sessions. This framework is known as the Five Ps.
The first P stands for Purpose. This is where you define the objective of the meeting. If the purpose of a meeting is not crystal clear, it’s likely a waste of everyone's time.
The second P is People. Research shows that adding more people to a meeting decreases decision-making effectiveness significantly. Amazon's Jeff Bezos uses the "two pizza rule," stating that if you need more than two pizzas to feed the attendees, the meeting is too large. Aim for a sweet spot of five to nine people, ensuring everyone there needs to contribute.
The third P stands for Process. This involves setting an agenda, outlining what topics need to be discussed, and deciding how decisions will be made and disagreements handled. Maintain focus by using a “parking lot” – a space to capture off-topic ideas that can be addressed later.
The fourth P is Preparation. Proper preparation can dramatically shorten meeting durations. It’s about ensuring participants come ready for decision-making, not information sharing. Send necessary materials well in advance and make attendance contingent upon having reviewed them.
The fifth and final P is Product, which refers to the tangible outcomes expected from the meeting. This could be a decision, a task list with deadlines, or a resolution to a specific problem. Both Purpose and Product must be clearly defined to ensure the meeting's effectiveness.
With the Five Ps clearly delineated on all meeting invites, there should be no more confusion. This is simply a matter of enforcing these expectations. Now, you can structure and run meetings that are both effective and efficient. Avoid being pulled into the black hole of poorly conducted meetings by integrating this structure across your team. Many teams have updated their meeting templates to include these Five Ps, ensuring they are filled out before any meeting invitations can be sent or accepted.
